We are seeking a Front Desk Coordinator for our real estate property and facilities management operations in Rochester, Minnesota. In this role, you will be the first point of contact for our clients and visitors, providing excellent customer service and handling various administrative responsibilities.

This job offers a contract to permanent employment opportunity. Pay for this position is $18-22/hr.

Responsibilities:

  • Greet and assist visitors, answering their inquiries and providing general information.
  • Ensure the reception area is well-organized and the coffee station is always stocked.
  • Handle incoming calls and emails, responding to customer queries promptly and in a detail oriented manner.
  • Manage mail distribution and operate fax machines as necessary.
  • Conduct property tours for potential clients and assist with their account questions.
  • Maintain a business casual dress code at all times.
  • Utilize Microsoft Office tools for various administrative tasks.
  • Assist with special projects as needed.
  • Collaborate with the on-site manager for guidance and support.
  • Uphold and enhance the reputation of our services through detail oriented interactions.
  • Possess relevant experience in receptionist duties, including handling phone calls, managing appointments, and greeting visitors.
  • Strong proficiency in Microsoft Office, including Word, Excel, and PowerPoint, for managing administrative tasks.
  • Exceptional skills to assist customers, addressing their inquiries and directing them appropriately within the facility.
  • Familiarity with real estate property or facilities management industry is a plus.
  • Ability to multitask, organize, and prioritize work in a fast-paced environment.
  • Excellent communication and interpersonal skills to interact effectively with all levels of personnel.
  • High level of professionalism and ability to maintain confidentiality.
  • Demonstrable problem-solving skills with a customer-centric approach.
  • Ability to work independently with minimal supervision, as well as part of a team.
  • Must have a high school diploma or equivalent; a degree in a relevant field will be an advantage.
