We are looking for a Front Desk Receptionist with Administrative Assistant and Data Entry experience to support our client located in Fremont, California.
In this administrative assistance and data entry role, you will aid a commercial real estate company in a professional setting.
This position is located onsite with front desk responsibilities with a schedule of Monday - Friday from 8AM to 5PM. This position is likely to last 4-8 weeks or more.
Experience with Microsoft, Word, Outlook, Excel and general data entry are required.
Responsibilities:
- Act as the first point of contact for all incoming calls, guests and clients
- Ensure that the office is well-maintained, organized, and secure
- Manage routine office tasks, including filing, generating reports, and setting up meetings
- Process and maintain accurate records
- Conduct data entry tasks with precision and efficiency
- Utilize MS Office and MS Office 365 to handle administrative tasks
- Communicate effectively with customers and the team
- Resolve customer inquiries in a professional and timely manner
- Assist with project management and other ad hoc duties as assigned.
- Minimum of two years' experience in an administrative assistance/receptionist role, preferably within the Real Estate or Facilities Management industry.
- Proficiency in administrative tasks and data entry with a keen attention to detail.
- Moderate knowledge and competency in Microsoft Office Suite, including MS Office 365 and Microsoft Excel.
- Experience in electronic filing (e-Filing) and traditional filing systems.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Proven ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated ability to work effectively both independently and as part of a team.
