Administrative Assistant

We are in search of an Administrative Assistant to join our client's team based in the Lawrenceville, New Jersey area. As an Administrative Assistant, you will be instrumental in managing daily office tasks, interacting with various departments, and ensuring smooth operations within our organization.

Responsibilities:

  • Oversee daily office operations and provide administrative support as necessary
  • Use Excel extensively to create spreadsheets and light formulas for data organization in preparation for meetings
  • Manage property lease paperwork and act as a point of contact for lease updates
  • Liaise with vendors or maintenance personnel when office equipment requires repair or maintenance
  • Draft letters, update executive schedules, prepare conference rooms for meetings, and take meeting notes
  • Compile necessary documents for managers in preparation for meetings
  • Collaborate with the Purchasing and Shop Department for any needed repairs or maintenance
  • Handle reservations for company events or travel, which may occur once or twice a year.
  • Proven experience in the role of Administrative Assistant, preferably within the construction/contractor industry
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook
  • Excellent communication skills, both written and verbal
  • Strong organizational abilities and attention to detail
  • Ability to multitask and prioritize tasks effectively
  • Ability to work in a fast-paced environment and adapt to changing priorities
  • Knowledge of basic accounting principles and software would be advantageous
  • Familiarity with construction/contractor industry terminology and practices
  • Ability to handle confidential information with discretion
