Position Summary

The Bilingual Administrative Assistant provides administrative support to the team at 33 USA Inc. This role requires fluency in both Japanese and English, as well as excellent organizational skills and attention to detail. The Bilingual Administrative Assistant is responsible for various administrative tasks including managing correspondence, scheduling appointments, maintaining records, attending any meetings as a interpreter and assisting with projects as needed.

Requirements

Essential Job Functions & Responsibilities:

Correspondence Management:

  • Manage incoming and outgoing correspondence, including email, mail, and phone calls
  • Translate documents and messages from Japanese to English and vice versa
  • Draft and edit documents in both Japanese and English
  • Attending the sales or corporate activity as a interpreter

Appointment Scheduling:

  • Schedule appointments, meetings, and conference calls
  • Coordinate calendars and resolve scheduling conflicts

Record Maintenance:

  • Maintain digital and physical records, filing systems, and databases
  • Update and organize documents and information as needed

Support Tasks:

  • Assist with travel arrangements, booking flights, hotels, and transportation
  • Coordinate logistics for meetings, including preparing meeting materials and taking minutes
  • Assist with special projects by conducting research and providing administrative support

Education and Experience Requirements:

Required:

  • Fluency in both Japanese and English (verbal and written)
  • Proven experience as an administrative assistant or similar role
  • Strong organizational and time management skills
  • Excellent interpersonal and communication skills

Preferred:

  • Bachelor's degree in business administration or related field
  • Knowledge of Japanese culture and business etiquette
