We are offering a permanent employment opportunity for an Executive Assistant in Los Angeles, California. This role involves a myriad of administrative duties in a dynamic work environment.
Responsibilities:
- Assisting the Executive VP and VP with day-to-day operations.
- Managing travel accommodations and itineraries for executives.
- Overseeing the processing of reimbursements for incurred work-related expenses.
- Coordinating and planning events as required.
- Handling catering requests for office meetings and events.
- Ensuring the conference rooms are well-maintained and prepared for meetings.
- Managing the procurement of office supplies as needed.
- Overseeing building maintenance to ensure a conducive work environment.
- Maintaining executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Minimum of 5 years' experience in an Executive Assistant role or similar position.
- Proficiency in basic office skills, including but not limited to typing, filing, and managing correspondence.
- Excellent written and verbal communication skills.
- Proven ability to manage time efficiently and prioritize tasks.
- Exceptional organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Capable of handling sensitive information with the highest degree of integrity and confidentiality.
- Demonstrated ability to work independently and take initiative.
- Strong problem-solving skills and the ability to make decisions under pressure.
- Experience in managing and coordinating schedules and appointments.
- Ability to work in a fast-paced, dynamic environment.
- Demonstrated ability to build and maintain detail-oriented relationships.
- Bachelor's degree or equivalent experience in a relevant field is preferred5
