We are offering a permanent employment opportunity for an Executive Assistant in Los Angeles, California. This role involves a myriad of administrative duties in a dynamic work environment.

Responsibilities:

  • Assisting the Executive VP and VP with day-to-day operations.
  • Managing travel accommodations and itineraries for executives.
  • Overseeing the processing of reimbursements for incurred work-related expenses.
  • Coordinating and planning events as required.
  • Handling catering requests for office meetings and events.
  • Ensuring the conference rooms are well-maintained and prepared for meetings.
  • Managing the procurement of office supplies as needed.
  • Overseeing building maintenance to ensure a conducive work environment.
  • Maintaining executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Minimum of 5 years' experience in an Executive Assistant role or similar position.
  • Proficiency in basic office skills, including but not limited to typing, filing, and managing correspondence.
  • Excellent written and verbal communication skills.
  • Proven ability to manage time efficiently and prioritize tasks.
  • Exceptional organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Capable of handling sensitive information with the highest degree of integrity and confidentiality.
  • Demonstrated ability to work independently and take initiative.
  • Strong problem-solving skills and the ability to make decisions under pressure.
  • Experience in managing and coordinating schedules and appointments.
  • Ability to work in a fast-paced, dynamic environment.
  • Demonstrated ability to build and maintain detail-oriented relationships.
  • Bachelor's degree or equivalent experience in a relevant field is preferred5
