Salary: $26.44 - $28.85/Hourly. The final pay for this position will vary based on geographic location and candidate experience relative to what the company reasonably anticipates for this position.
Summary of Position:This position operates onsite within the Bay Materials Sales & Marketing Department in Fremont, CA, which is the company’s front line for communicating and connecting with our various customer groups. Every day we work diligently to provide excellent service and support to clinician offices, dental/orthodontic labs, aligner manufacturing companies, and international distributors.
Communications and data entry tasks include product usage questions, order entry, arranging shipping details, assuring timely order fulfillment, and problem solving.
Essential Functions and Duties:
- Handle inbound customer contacts (phone, chat, email) to provide excellent customer service
- Outreach to potential and established customers to assist sales and marketing efforts
- Enter and track orders via tools and software to assure timely product delivery, and accurate management information
- Generate shipping labels and schedule shipment pickups by approved carriers
- Enter and update sales order data in Bay Materials’ accounting and order tracking systems (i.e., SAP and Trello)
- Initiate RMA (Return Material Authorization) documents and track product returns from customers
- Accomplish weekly productivity, efficiency and satisfaction goals
- Work collaboratively cross-team and across all departments including manufacturing, shipping, and logistics to ensure a world-class customer experience
- Attend and contribute to team and company meetings to stay up to date on relevant information and quality system documentation
- Maintain adequate inventory of our various sales and marketing materials
- Creation and maintenance of orders, order scheduling onward processing
- Responsible for continuous improvements within customer service & logistics
- Complete training required for this position
Non-essential Functions and Duties:
- Other duties as assigned by a supervisor or manager
- Assists in special projects as needed
- Continually increase knowledge of orthodontics, industry trends, and company processes
- Know and communicate our Vision and Mission to understand and communicate the priorities of the team & company
Minimum Qualifications:
- High School Graduate or GED equivalent
- 1+ years’ experience in a customer service role, with a strong focus on customer satisfaction
- 1+ years of experience in MS Office applications (Excel, Word, Outlook)
Preferred Qualifications:
- SAP experience (candidate will be trained in SAP )
- Problem-solving and decision-making abilities to address customer issues and resolve conflicts
- Able to handle a high volume of both inbound and outbound call, chat, and email traffic
- Adapt to changes with short notice
- Organizational skills to manage customer records and accounting tasks
- Work independently, prioritize tasks, and meet deadlines in a fast-paced environment
- Excellent communication skills, both verbal and written, with the ability to effectively interact with customers and internal teams
