Access Services is hiring a full time, in office Administrative and Compliance Assistant for the Justice Related Services program in Plymouth Meeting, PA. This role involves a variety of tasks including managing vehicles (fleet management), planning events, handling billing, sending out mail, ordering and managing supplies, and managing paperwork and data.

This role supports the daily activities of programs within Adult Behavioral Health and Justice Related Services.

The Administrative and Compliance Assistant will be attentive to detail, manage time effectively to prioritize multiple priorities and meet deadlines. The successful candidate will be able to work well within a team of case managers, be well organized, effective in communication, and be solutions oriented when encountering challenges.

Essential Functions:

  • Ensure that EZ Pass statements and vehicle log reports are accurately and promptly submitted to fiscal department.
  • Ensure timely scheduling of preventive maintenance of fleet of vehicles.
  • Accuracy and timely writing of correspondence, policies, and requested draft letters.
  • Accurate and timely documentation in electronic health record.
  • Collection, recording, maintenance, and communication of statistical data kept for program services.
  • Support Directors and Assistant Directors in all programs with projects and departmentalfunctions.
  • Complete paperwork for tasks as needed such as forms and folders, monthly hospitalization reports, fleet management, orientation packets or back billing.
  • Execute mailings, sorting and/or lettering.
  • Order or obtain supplies for programs and offices.
  • Execute administrative tasks related to referrals, discharges, IRPs, and room reservations; Support other administrative assistants as needed.
  • Offer support with program events such as picnics and peer groups.
  • Participate in compliance team meetings and dedicate approximately ten hours per week to compliance monitoring and follow up. This will includea review of client files for compliance, and all required follow-up within a tracking document.
  • Assist the Director and Assistant Directors in implementing and developing measures for Compliance and Quality Assurance as directed.
  • Ability to articulate the current process of compliance and quality assurance, work on special projects and suggest ways to improve the program's efficiency.
  • This job requires regular attendance and the ability to work overtime, both scheduled and unscheduled, as needed.
  • This position involves travel during the workday for offsite meetings, community services, and supervision duties. Employees may need to use their own vehicle or a company vehicle, and must drive safely, meet the requirements of the Motor Vehicle Policy, and be willing to drive during work hours. They must also pass substance abuse screenings at any time during employment. Exceptions to these requirements should be discussed with the supervisor.

Requirements

Education:

  • Bachelors degree required, preferably in a related field such as Social Work, Human Services, Psychology, or Special Education

Experience:

  • One year of related administrative experience preferred, preferably in a health care or social services environment.

Knowledge, Skills, and Abilities:

  • Excellent organizational and oral/written communication skills.
  • Ability to effectively interact with visitors and all levels of staff.
  • Ability to handle multiple tasks in a professional manner.
  • Proficiency in, or ability to learn and use, workplace applications, platforms and technologies.

Essential Working Conditions/Physical Demands:

  • Work in a standard office environment, using desktop computer equipment daily.
  • Ability to lift or move items associated with sedentary work and light work (exert up to 20 lbs.)
  • Travel to offsite locations and regional office locations if necessary.
