Overview:
Position Description Summary
The Administrative Assistant V will be supporting of Capital Improvement Aviation Programs. Prepares correspondence, maintains calendars, sets up and coordinates meetings, takes meeting minutes, copies and scans documents, logs information, tracks documents, handles phone calls, greets and assists visitors.Additional duties include support of projects in regards to document control, project controls, financial processes, creating reports and power point presentations.
This is a Hybrid role, in-office Tuesday, Wednesday, and Thursday.
Responsibilities:
Essential Job Duties- Ability to prepare correspondence in a variety of formats.
- Ability to maintain calendars for safety team, safety training calendars, etc.
- Ability to set up and coordinate meetings.
- Ability to provide attention to detail to ensure tasks are completed thoroughly and correctly, strong written and verbal communication skills to produce reports, strong interpersonal skills to interact positively with all employees and contractors, accept instructions, suggest new process and policies, if required.
- Flexibility to adjust to new tasks, if group or office needs change, may be called upon to take meeting minutes in meetings, assist staff with various tasks as needed.
- Have a working knowledge with Microsoft Office Suite, Bluebeam, Pro-core, Prolog, VEO and other programs that are necessary to complete daily assignments.
- Ability to create and maintain the Safety Group SharePoint sites.
- Ability to perform extremely detailed processing and maintenance of monthly safety metrics, incident logs, safety violation logs, and other logs and data bases as needed.
- Ability to create detailed program wide monthly PowerPoint presentations/reports as well as individual project reports and other reports as required.
- Abiltiy to monitor and maintain the TDG-Safety email account and to answer the TDG safety phone.
- Ability to review employees timesheet for accuracy and ensure time charges are correct prior to Supervisor's signature.
- Experience with office machines (e.g. copiers, fax machines, printers).
13 Ability to order and pick-up office supplies.
Hardware/Software Knowledge- Effectively use Microsoft Office Suite and Adobe Acrobat Pro software.
- Large-scale construction management type software such as Prolog, VEO, Procore and other computer software and applications as needed.
- Create PowerPoint presentations.
Qualifications:
REQUIREMENTS
Minimum Education Level:
- Post-Secondary Education, preferably in communication.
Minimum Years and Experience:
- 15 years or more experience as an administrative assistant. Preferably with airport, safety, inspection experience.

Wage Data Per State Requirements:
Pay range for this position is $43.10/hr - $52.77/hr. The starting pay will be commensurate with skill, education, experience, and working environment.
