Are you a highly organized individual with a talent for managing multiple administrative duties? Robert Half has an exciting Executive Assistant position available for a skilled professional who will work closely with a strong management team.

This role, based in Miami, offers the chance to showcase your talents in a challenging yet friendly work environment. The position is a long-term contract that could potentially lead to a permanent role.

Day-to-Day Responsibilities:

  • Provide high-level administrative assistance to executives and senior leadership.
  • Manage executive schedules, arrange meetings, and coordinate appointments.
  • Handle travel logistics, including booking flights, hotels, and transportation.
  • Create and edit correspondence, presentations, and various reports.
  • Screen and prioritize calls, emails, and requests from internal and external contacts.
  • Organize and maintain important files and records for senior management.
  • Support the preparation and review of key documents and reports.
  • Handle confidential matters with professionalism and discretion.
  • Act as a key liaison between executives and stakeholders across the company.
  • Manage administrative tasks such as processing expense reports and tracking budgets.
  • Assist in organizing company meetings, events, and other special projects.
  • Conduct research and provide necessary data to assist in executive decision-making.
  • Prioritize competing tasks and manage multiple projects efficiently.
  • Look for ways to streamline processes and improve office efficiency.
  • Assist with ad hoc projects and other administrative support as needed.
  • Help maintain a positive and professional image of the executive office.
  • Bachelor's degree or equivalent experience is preferred.
  • Bilingual in Spanish is a must.
  • Experience as an executive assistant or in a similar role.
  • Expertise in Microsoft Office Suite and communication tools.
  • Strong organizational skills and the ability to prioritize tasks.
  • Exceptional attention to detail and accuracy.
  • Clear and effective written and verbal communication skills.
  • Ability to handle sensitive information with discretion.
  • Problem-solving and adaptability to fast-paced environments.
  • Strong interpersonal skills for working with senior leadership and colleagues.
