We are offering a contract to hire employment opportunity for an Administrative Assistant.. This role is primarily focused on providing administrative support to our human resources and accounting departments. Your duties will include data entry of invoices, scanning and filing employee files, and generating reports.
Responsibilities:
- Handle administrative tasks including, but not limited to, scanning, filing, and generating reports.
- Manage data entry of invoices with precision and attention to detail.
- Maintain and organize employee files for easy retrieval and reference.
- Provide support to the human resources and accounting departments as needed.
- Utilize various Microsoft Office programs, including Excel, Outlook, PowerPoint, and Word, to complete tasks effectively.
- Ensure efficient and accurate handling of inbound and outbound calls.
- Deliver high-quality customer service, addressing and resolving customer inquiries in a timely manner.
- Manage email correspondence, ensuring prompt and professional responses.
- Schedule appointments as necessary, maintaining an organized and up-to-date schedule.
- Execute data entry tasks, including numeric data entry, with a high degree of accuracy.
- Operate scanning equipment, ensuring accurate digital records are maintained.
- Minimum of 3 years experience in an administrative role
- Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
- Experience in handling inbound and outbound calls
- Exceptional customer service skills
- Expertise in data entry including numeric data entry
- Ability to manage email correspondence professionally and efficiently
- Experience in scheduling appointments
- Familiarity with scanning and electronic document management
- Excellent communication and interpersonal skills
- Ability to multitask and prioritize tasks effectively
- High attention to detail and accuracy
- Strong organizational and time management skills.
