Overview:

The Department of Obstetrics and Gynecology at New York Medical College is seeking a part-time Temporary Administrative Assistant, “Assistant”. The ideal candidate is a highly organized and collaborative professional who excels in communication and problem-solving.
This role involves working closely with faculty, staff, and students to support departmental operations, particularly in the areas of research administration and event coordination. The Assistant will report to the Senior Administrator and dotted line to Academic Administration, and will provide crucial administrative and research support to ensure the smooth functioning of department activities.

This is a limited term role.

Responsibilities:

General Administrative Support:

  • Provide administrative assistance to the Senior Administrator and departmental leadership.
  • Manage departmental communication, including answering phones, responding to emails, and handling inquiries from the department’s general email accounts.
  • Schedule and coordinate meetings, prepare mailings, update department contact lists, and manage mail and fax distribution.
  • Handle logistics related to purchase requisitions, travel reimbursements, office supply orders, space/food reservations, and equipment maintenance.
  • Collaborate with NYMC administrative and academic offices to support OBGYN initiatives and special events.
  • Support special projects involving the department's Chair and Associate Chairs.
  • Assist with committee meetings, including preparation of meeting materials and minutes.

Research Administration:

  • Provide administrative support for student and faculty research activities within the department.
  • Reimburse study participants as needed.
  • Support Collaborative Institutional Training Initiative (CITI) certification processes and ensure compliance with institutional research guidelines.

Student Development:

  • Coordinate student involvement in department initiatives, including research projects and educational activities.
  • Provide administrative support for student mentorship programs and assist in organizing student-centered events.

Other duties as assigned by Dean’s Office and Department

Qualifications:

Education requirement: Bachelor’s degree required. Master’s degree preferred.

Licenses or certifications: Collaborative Institutional Training Initiative (CITI) certifications preferred (but can be obtained through NYMC).

Technical/computer skills:

  • Experience using data management systems and tools to support multi-site, multi-mode research studies.
  • Proficiency in software programs such as MS Word, Excel, and other office-related tools.

Prior experience:

  • Experience in research coordination and administrative support preferred.
  • Strong organizational and multitasking abilities with the capability to handle multiple projects simultaneously.

Physical demands: Ability to perform typical office tasks, including sitting for extended periods and working on a computer.

Maximum Salary: USD $15,000.00/Yr.
