Project Manager
The Project Manager will be the glue for any projects they manage, ensuring that all aspects of the project are tightly coordinated, well thought out, and effectively delivered.
The Project Manager is responsible for hands-on project management, overseeing and directing multiple projects at a time, ranging from short-term discreet initiatives to longer-term integrated endeavors, and ensuring that projects meet or exceed internal team and client expectations.
This role will facilitate the completion of projects, on time and on budget, proactively managing details from inception to delivery. This includes interfacing with the internal project team regularly by setting up and driving team meetings and project documentation and ensuring that the right information is communicated.The Project Manager will be responsible for creating project plans, identifying and addressing project risks, and, in conjunction with our Production Planning team, ensuring project team members meet their deliverables in the hours allotted.
Finally, the Project Manager is a primary contributor to the regulatory submission and review process, which is a core deliverable for our FDA-related projects.
Key Responsibilities, including but not limited to:
- Manage medium-to-high complexity projects from start-to-finish across a range of multi-channel program engagements, totaling approximately $1M-2M revenue managed at any given time.
- Drive success of all assigned projects by ensuring a quality of delivery for both the client and for CG Life, within the defined parameters of the project.
- Gain an understanding of client business objectives, product offerings and project objectives to effectively drive success for all assigned projects.
- Contribute to the creation of project estimates, proposals, and Statements of Work.
- Support and maintain positive client and client-vendor relationships and serve as the client point-of-contact for day-to-day project-related requests.
- Responsible for ensuring timely delivery of all project deliverables within scope and budget constraints.
- Work closely and collaboratively with the Client Services team by proactively identifying project budget and timeline risks and working with the project team to define and document mitigation plans, changes in scope, and/or other agreed upon solutions.
- Draft initial project plans, with support from the Project Management team as needed, and facilitate project team input to finalize plans.
- Build and maintain project schedules and Gantt charts.
- Work with the Production Planning team to ensure projects are appropriately resourced based on staffing and capacity projections.
- Drive project momentum and solution-oriented collaboration in the face of common project challenges (timing, ambiguity, changing priorities, etc).
- Develop project status reports and partner with the Account Services team in leading Client project status meetings.
- Facilitate effective and efficient internal meetings and discussions with clearly stated objectives and outcomes; ensure meetings stay on track and lead to solutions, decisions, and/or next steps.
- Be the linchpin for your project team, clearly communicating dates, next steps, decisions, actions, etc and supporting them through task tracking and unblocking activities.
- Maintain high-performing team dynamics through optimism, empathy, trust, communication, and collaboration.
- Support the medical-legal-regulatory submission and approval process as defined at CG Life, to include submission preparation, edit iterations, and QA.
- Support the onboarding and training of new and existing team members.
- Perform other duties as assigned.
- Bachelor’s degree in Business, Marketing, Communications, or other related field.
- 2+ years of project management experience, preferably within a high-volume advertising agency.
- Must be able to maintain schedule availability flexible to business needs (typically 9-5 PT M-F).
- Self-motivated, disciplined, fast learner.
- Highly collaborative and solution-oriented with a positive and flexible mindset, and a proven ability to juggle many projects or tasks at once with humor, tact and professionalism.
- Excellent communication skills and a demonstrated ability to motivate a diverse range of personalities and project teams.
- Proven time management, prioritization, and organizational skills with a track record of successfully breaking down work into manageable and actionable tasks, decisions, and outcomes.
- Demonstrated ability to anticipate potential issues, roadblocks, gaps, and risks, then set mitigation plans in place or course correct before they occur.
- Knowledge and proven experience with project management tools and methodologies, including risk management, scope management, and change management.
- Proven meeting management and facilitation skills; able to keep meetings on track, set and drive agendas, and guide the team forward from places of uncertainty or ambiguity, to tangible outcomes and decisions.
- Knowledge and proven experience with software development life cycles, web technologies, creative design processes, and marketing and digital strategy projects preferred.
- Very strong attention to detail and follow-through.
- Proficient in Microsoft Office Suite programs.

As required by law in this state, the estimated salary range for this position is $65,000 - $75,000 and represents our good faith estimate as to what our ideal candidates are likely to expect. We tailor our offers within the range based on organizational needs, internal equity, market data, geographic zone, and the selected candidate’s experience, education, industry knowledge, location, technical and communication skills, and other factors that may prove relevant during the selection process.
At CG Life, it is not common for individuals to be hired at the higher end of the range, and compensation decisions depend on a variety of factors.
