Receptionist/ Office Assistant

We are actively searching for a Receptionist/ Office Assistant in the Architecture industry, located in Morristown, New Jersey. This position offers a long term contract employment opportunity, where you will be responsible for managing customer interactions, handling office logistics, and maintaining an organized work environment.

• Efficiently manage incoming calls and direct them to the appropriate departments
• Greet and guide vendors, clients, and other visitors with a detail oriented demeanor
• Handle incoming and outgoing mail, ensuring timely receipt and dispatch
• Coordinate deliveries from various providers such as Truckman’s, FedEx, UPS
• Maintain the cleanliness and organization of internal conference rooms, preparing them for meetings
• Respond to or redirect messages left in the general voicemail box
• Use Accounting Software Systems and CRM to keep track of customer interactions
• Carry out clerical duties, including managing schedules for conference rooms
• Reduce the influx of unnecessary solicitation and junk mail
• Utilize ADP - Financial Services and other computer programs for office tasks.
• Strong interpersonal skills, work closely with leadership team, HR and Finance team members
• Excellent organizational skills and attention to detail
• Keen ability to manage time, competing priorities and multi-task.
• Problem-solving skills are essential to this role
• Resourceful and results oriented mindset.
• Proficient in Microsoft Office Suite or related programs (Office 365, Word, Teams)
