Administrative Assistant

We are seeking a highly organized Administrative Assistant to support our ancillary benefits team. The ideal candidate will have strong communication skills and the ability to manage multiple tasks efficiently. You will play a crucial role in ensuring the smooth operation of our office and providing exceptional service to our clients.

Key Responsibilities:

  • Answering and directing phone calls
  • Completing daily Dictaphone transcriptions
  • Drafting letters to prospective and current clients
  • Preparing illustrations for various insurance products
  • Reviewing insurance applications and coordinating medical exams
  • Using Excel templates to prepare group health insurance proposals for annual renewals
  • Calling clients to review renewal proposals
  • Addressing changes to enrollment status, service issues, claim concerns, and billing inquiries
  • Conducting doctor searches for prospects and clients
  • Mail merging lists and labels for mailings
  • Creating form letters and envelopes
  • Updating client information in ACT, our client management database system
  • Setting up and maintaining paper files in compliance-approved manner
  • Tracking all insurance licenses
  • Ordering office supplies
  • Managing postage and FedEx shipments
  • Sending out annual holiday cards
  • Preparing and updating quarterly newsletters
  • Participating in ad-hoc projects as needed

Qualifications:

  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite, particularly Excel
  • Experience with client management database systems (ACT preferred)
  • Ability to multitask and prioritize effectively
  • Attention to detail and problem-solving skills
