Executive Secretaries and Administrative Assistants

We are offering a long-term contract employment opportunity for an Executive Secretary and Administrative Assistant in our Rochester, New York office. This role revolves around providing high-level administrative support in a fast-paced office environment, handling information requests, and performing various clerical functions.
Responsibilities:- Prepare and handle correspondence with stakeholders
- Schedule and manage meetings for team members
- Act as immediate supervisor's representative in routine contacts with other executives
- Screen incoming correspondence, delegate to appropriate staff, and ensure timely responses
- Format documents in Word and Excel
- Handle incoming and outgoing mail, including scanning, photocopying, and emailing documents
- Support an internal Personnel Database in Access while maintaining strict confidentiality
- Troubleshoot multiple issues for staff, including IT-related problems
- Prepare reports and handle information requests
- Provide administrative support to team members, including data entry and customer service tasks. • Must possess excellent customer service skills.
- Strong communication abilities are essential.
- Proficiency in data entry is required.
- Familiarity with office functions and administration is necessary.
- Must be proficient in Microsoft Excel and Microsoft Word.
- Experience with databases is essential.
- Knowledge of 'About Time' software is desirable.
- Pricing experience would be advantageous.
- Familiarity with hiring processes is beneficial.
- Scanning skills are required.
- Experience dealing with vendors is valued.
- Ability to troubleshoot problems is necessary.
- Must be adept at handling correspondence.
- Skills in performing clerical duties are essential.
- Experience with financial notes is desirable.
- Knowledge of consumer electronics is a plus.
- Must respect confidentiality and handle sensitive information with discretion.
- Experience with C-Suite executives is beneficial.
- Proficiency in Microsoft Office Suites is required.
- Experience with closing procedures is advantageous.
- Skills in distributing faxes are required.
- Ability to prepare reports is necessary.
- Experience in office administration is essential.
- Must be able to schedule meetings efficiently.
