Accounts Payable Specialist

• TYPE: Contract-To-Hire
• LOCATION: 100% onsite in Hayward
• PAY: $30-35 per hour
• SCHEDULE: M-F, 8:00 AM - 5:00 PM

The ideal candidate has experience with AP within the construction industry!

education: No Degree Required

• Manage accounts payable processing in full on a weekly basis, which includes:
• Printing and distributing all invoices to appropriate personnel for approvals
• Entering invoices into accounting software
• Generating vendor payments and mailing checks
• Handling all ACH payments through appropriate vendor portals
• Filing invoices and check stubs
• Reviewing statements from all vendors
• Communicating with vendors about payment status, invoice discrepancies, etc.
• Setting up new vendors in accounting software
• Updating applicable reports in Excel
• Manage all front desk activities and communication.
• This includes distributing shipments, directing yard deliveries, generating receipts for renters, speaking with vendors/ potential new hires, handing out job applications, etc.
• Must learn and understand our business and operations.
• File accounts payable invoices/check stubs, reports from accounting software, timecards, insurance certificates, W-9s from vendors, etc.
• Assist with filling out miscellaneous paperwork (bid forms, prequalification forms, credit applications, etc.)
• Assist with prelien notices for all applicable jobs sent via certified mail.
• Create folders for new projects, vendors, etc. as requested.
• Order, maintain and organize stock of all office supplies.
• Must be willing to take on additional tasks as requested.

• Accounts Payable (2 years of experience is required)
• ProContractor (2 years of experience is preferred)
• American Contractor (2 years of experience is preferred)
• Vendor Management (2 years of experience is required)
• Front Desk (1 year of experience is required)
• Pre Lien (1 year of experience is preferred)
• Excel (1 year of experience is required)
