The Client Intake Associate is the first point of contact for families inquiring about Diagnostic and/or ABA services. Every client’s journey with autism is different, from diagnosis to ultimate treatment through ABA therapy. With that in mind, the Client Intake Associate must adapt to serve the unique needs, questions, timing, and concerns from each family personalizing the experience.
Our goal is to get clients into the center within 30-45 days in order to receive these crucial services as quickly as possible. The Client Intake Associate will support the Client Intake Advocates to drive these results by providing excellent customer service, understanding, and knowledge of our business.

They will assist in obtaining insurance information and verifying coverage as well as verifying diagnosis meets insurance requirements. Consistent partnership and feedback with Client Intake Advocates, Center Administrators, Authorization Specialists, and leadership is important to ensure we are providing the best service possible for each client.

You will map out the journey they will undertake with Behavioral Innovations to get help for their child and work through that journey with them every step of the way. If you don’t have the information to assist a parent, you will be able to leverage internal resources to help you resolve issues and find solutions for families.

What we are looking for:

  • Experience with Salesforce and Electronic Medical Records (EMR) systems is preferred
  • Bachelor’s degree or relevant work experience as an Intake Specialist is a healthcare setting highly preferred
  • Experience with Intake and/or sales as you will be receiving inbound calls/making outbound calls and using other forms of communication to prospective clients who have requested information about our service
  • Accurate and timely data entry is crucial in this role, as the information entered will directly contribute to the maintenance of precise and up-to-date medical records, ensuring the highest standards of patient care and administrative efficiency
  • Must be comfortable working in a fast-paced, continually changing, and results-oriented environment as part of a rapidly growing organization
  • Ability to multi-task; listening, typing, taking notes, and work with different operating systems at one time.

Essential Duties & Responsibilities:

  • Ask qualifying questions and actively listen to qualify potential clients
  • Educate potential clients about BI, Diagnostic services, and ABA therapy
  • Establish a relationship with inquiring families by phone, email, chat, and/or text to provide excellent customer service with the goal of getting child enrolled in our treatment center within 30-45 days from start of the intake process
  • Fully document all information from potential clients, doctor’s office, and insurance companies in appropriate system (Salesforce, Adobe Sign, Central Reach, among others) to track the intake process in conjunction with daily/weekly audits.
  • Support in verifying all required documents and demographic information (client details, insurance coverage, autism diagnosis, physician referral for assessment and ongoing ABA therapy, etc.)
  • Supports in verifying diagnosis requirements. Following up with providers and/or client when information is missing.
  • Maintain confidentiality with accordance of HIPPA and company standards.
  • Performs other duties as assigned.
