Position Overview:

We are seeking a highly organized, proactive, and detail-oriented Executive/Administrative Assistant to support our executive leadership team. This role is pivotal in ensuring smooth and efficient day-to-day operations within our organization.

The Executive/Administrative Assistant will provide comprehensive administrative support to senior management and work closely with various departments to ensure seamless communication and collaboration across PrimeCare Medical, Inc.

Key Responsibilities:

Manage executive schedules, including coordinating meetings, appointments, travel arrangements, and conference calls.

Prepare and edit documents, presentations, reports, and correspondence for senior management.

Serve as a liaison between the executive team and internal/external stakeholders, ensuring clear and effective communication.

Assist in the preparation of meeting agendas, take meeting minutes, and follow up on action items.

Handle confidential and sensitive information with discretion, maintaining professionalism at all times.

Perform administrative tasks, including answering phone calls, handling mail, and managing office supplies.

Coordinate and manage special projects as directed by the executive team, ensuring deadlines are met.

Support the Human Resources department with scheduling interviews, maintaining employee records, and assisting with onboarding.

Prepare and organize materials for internal and external meetings and events.

Assist in organizing company-wide communications and provide logistical support for company events and employee recognition programs.

Monitor and prioritize executive emails, responding on behalf of executives when appropriate.

Qualifications:

High school diploma or equivalent (Associate or Bachelors degree in Business Administration or related field is a plus).

Proven experience as an Executive Assistant, Administrative Assistant, or similar role, preferably in a healthcare or corporate setting.

Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to learn company-specific software.

Excellent written and verbal communication skills with a professional demeanor.

Exceptional organizational and multitasking abilities, with a strong attention to detail.

Ability to handle high-pressure situations with professionalism and calmness.

A high degree of discretion when handling confidential information.

Strong problem-solving skills and a proactive approach to work.

Experience in healthcare administration is a plus but not required.
