JOB INFORMATION:
Job Summary
We are seeking a dedicated Procurement Inventory Specialty Coordinator to join our team. In this position, you are responsible for ensuring the building of daily purchase orders, working with vendors to determine the status of shipments, reconciling invoices and closing receipts, as well as reporting discrepancies between purchase orders and deliveries.This position engages in a variety of warehouse and business transactions that are critical to the operation of the Murray Distribution Center including supporting the accurate and timely supply of products to the Company’s patient base, product storage, determining vendor accuracy, verifying pricing and securing relevant information to order or process orders from vendors and third party shippers.
This position also serves as the lead trainer for purchasing and invoicing processes, as well as communicating with vendors and manufacturers to resolve supply chain issues.

- Ability to lead and/or assist with projects as needed
- Adheres to and implements all company policies and procedures
- Collects data and provides regular reports to management and other stakeholders
- Communicates accurate estimated delivery dates to internal stakeholders
- Communicates effectively with team members, management, vendors and other departments both verbally and in writing to ensure questions and concerns are processed in a timely manner
- Complies with applicable laws and regulations

- Ensure transaction activity is reconciled between all applicable business systems
- Ensures the accurate and timely receipt, entry and put away of all inventory receipts
- Enters purchase orders into the Warehouse Management System
- Establish relationships with department peers and other departments
- Functions as a lead, guide, and trainer for staff/student employees, interns, and/or volunteers performing related work; may participate in the recruitment of volunteers, as appropriate to the area of operation
- Has complete working knowledge of all procurement responsibilities, and can work all roles unsupervised
- Has responsibility for purchasing and invoicing, and general working knowledge of all other areas
- Integrations and dependencies of the warehouse operations and processes with the Warehouse Management System
- Leads procurement activities for stock and non-stock inventory to support business needs and avoid stock outs and backorders
- Maintain inventory system accuracy between physical and Warehouse Management System (WMS) quantities
- Maintaining a clean, organized, and safe warehouse working environment
- Obtains information from vendors or manufacturers to ensure all products have correct pricing, Units of Measure, part numbers and other relevant data necessary to receive and distribute product
- Performs daily clerical duties, including data entry, answering telephones, and assisting customers
- Performs routine audits of ordering files and metrics to ensure they are meeting Company goals while adhering to Company policy
- Practices safe work habits, ensuring a safe work environment
- Prompt investigation and resolution of all on hand inventory issues, variances, and transaction discrepancies
- Provides information necessary to process invoices for payment to Accounts Payable
- Reconcile stock counts to report data
- Requests and verifies product returns as required following established procedures
- Works as a team to achieve daily warehouse management, accuracy and shipment goals
- Volunteers and performs other duties as required or assigned

QUALIFICATIONS:

- Valid driver’s license in state of residence with a clean driving record (when applicable for the position)
- High school diploma or GED equivalent, required
- Experience with medical equipment, preferred
- Experience in medical field, distribution and inventory management, preferred
- Inventory background, preferred
- One year of related work experience, preferred
- Medical terminology, preferred
- Accurately perform simple mathematical calculations
- Effectively communicate in English; both oral and written
- Interpret a variety of communications (verbal, non-verbal, written, listening and visual)
- Maintain confidentiality, discretion and caution when handling sensitive information
- Multi-task along with attention to detail
- Self-motivation, organized, time-management and deductive problem solving skills
- Work independently and as part of a team
- Handheld bar code scanner, manipulate the scanner and input the required data
- Operate select functions within the Warehouse Management System
- Utilization of certain material handling equipment
- Email transmission and communication
- Internet navigation and research
- Microsoft applications; Outlook, Word and Excel
- Office equipment; fax machine, copier, printer, phone and computer and/or tablet
- Manipulate pallets of products using a hand truck
- Accessing product using approved safety stairs

- Frequent twisting, pulling and reaching
- Lifting minimum is 50lbs
- Requires close vision to small print on computer and/or tablet and paperwork
- Requires sitting, walking, standing, talking and listening
- Warehouse and office environment; primarily indoors, but some outdoor work may be required
